From a physical ledger book to one app that runs the full day's accounts.
Arhtiya · Karnal, Haryana · Buying from farmers, selling to vendors on credit
The business
An arhtiya running a mandi trade in Karnal, Haryana. The day starts early - by 4AM, farmers are already at the shop with their produce. The team sorts and grades it, and by 10-11AM the day's tally is complete: who sold what, who owes what, and what went out to vendors on credit. Like most mandi businesses, the workflow is fast, amounts are large, and the paperwork that comes with it never stops.
The problem
1.Everything was tracked in a physical ledger book - purchases from farmers, sales to vendors, expenses. The ledger had to be maintained diligently every day. Calculation mistakes were a constant problem: if the numbers didn't tally, the entire entry had to be recalculated until they did.
2.The ledger was business-specific in its view. When looking at a vendor's account, it only showed the outstanding balance. To understand the actual transaction history - what was bought, when, at what rate - required flipping back through multiple previous ledger entries. There was no clean way to see the full picture.
3.Generating an invoice or payment receipt meant starting from scratch or hunting through old files. There was no single place to record an expense, track vendor-wise outstanding, or see the month's cashflow without manually compiling everything.
4.Internet connectivity in the mandi is unreliable. Cloud-based tools would slow down or become inaccessible right in the middle of peak hours. And the ledger book was the only thing that worked everywhere - but it didn't work well.
What we built
A local-first desktop app with a companion mobile view. It runs reliably even when the mandi's connectivity drops - and backs up to the cloud when a connection is available. The monthly cost is minimal, and there's no dependency on a stable connection to get real work done.

Daily Entry from Notes
Sale and purchase entries entered directly from the day's paper notes. What was written on the slab goes straight into the system - no re-entry into a separate tool.
Expense Recording
Loading, transport, market fees, labour - each tracked as a separate head. Categorised and available at month-end without any manual collation.
Cashflow & P&L
Monthly cashflow and profit-and-loss available at a glance. No compiling numbers from different files - it's all in one place.
Invoice Generation
Vendor invoices printed or shared over WhatsApp directly from sale entries. Items, rates, totals, outstanding balance - all on one document.

Vendor Payment Receipts
Vendor-wise payment receipts generated in seconds. Every payment accounted for, every outstanding balance visible.
Vendor Tracking with QR Reminders
Track what each vendor owes. Send payment reminders with a QR code for UPI - making it easy for them to clear outstanding without awkward follow-up calls.
Add your QR code, right on the invoice
The arhtiya can upload his own UPI QR code once, and it appears on every vendor invoice and payment reminder automatically. No more typing UPI IDs or sharing bank details over the phone — the vendor just scans and pays.

Built for the whole team
The app supports both Hindi and English. The arhtiya and his accountant use it in Hindi, while vendors and other team members can switch to English - no training, no confusion.
The outcome
✓Daily tally that used to require careful recalculation in a ledger book is now handled by the app. If numbers don't add up, the app flags it - not a human poring over handwritten entries.
✓Invoices and vendor payment receipts can be generated on the spot, in the shop, without digging through previous ledger pages or starting from scratch.
✓Cashflow and P&L are visible at any point during the month - not just at month-end when it's already too late to act.
✓Vendor payment reminders go out with a QR code. The vendor scans, pays via UPI, outstanding is cleared faster - and the awkward follow-up call is replaced by a WhatsApp message.
✓Low, fixed monthly cost. The app is local-first, so it works even without internet. Cloud backup is there when available - not a requirement for the system to function.
In their own words
“pehle roz subah hisaab karna padta tha, aur agar entry match na ho toh phir shuru karo. ab sirf entry daalo aur khata tyaar”
- Arhtiya, Karnal, Haryana
“Earlier, every morning I had to tally the accounts - and if an entry didn't match, I had to start over. Now I just enter the data and the ledger is ready.”
This was built for one arhtiya's exact workflow. If yours is different - different commodity, different trade terms, different documents - we can build that too. Tell us what your current day looks like and we'll show you what's possible.
